Saving reports as one PDF

No printing and scanning back in. A PDF made here is in color, sharp, searchable, and already in order.

1. Make a PDF of the reports you want

  1. On the incidents page, click Print at the top.
  2. Pick the dates (for example Last week). Every report from those dates is ticked; untick any you don't want.
  3. Choose what to include: a summary page, photos, the history of changes.
  4. Click Preview and print, wait for "ready to print", then click Print.
  5. In the print window, change Printer to Save as PDF. (If you only see Microsoft Print to PDF, that works too.) If there is a Color setting, set it to Color.
  6. Click Save, pick the folder, and give it a name that sorts by date, like 2026-10-06 to 2026-10-12 incidents.pdf.

For one report: open it and click Print at the top. The same print window opens.

Want paper too? Same steps; just pick the real printer instead of Save as PDF.

2. Add other files to it (a doctor's note, a form someone emailed)

Windows can't join PDFs on its own. Use a free program that runs on your own computer:

  1. Install PDF24 Creator from pdf24.org (free; once).
  2. Open PDF24 and choose Merge PDF.
  3. Drag in the PDF you saved from here and the other files. Drag them into the order you want.
  4. Click Merge, then Save.

If you have Adobe Acrobat (the paid one, not the free Reader): Tools → Combine Files does the same.

Don't use "merge PDF online" websites for these. The files have employees' names and injuries in them, and those sites upload them to someone else's computer.

3. Something that really starts on paper
